Special/Qualification Meeting April 2013

The meeting was called to order at 9:30 am. In attendance were Supervisors Brandt, Peterson, and Wortham and the Clerk.

The clerk asked for nominations for Chairman for the Ideal Township Board of Supervisors for the year 2013. Motion by Wortham, seconded by Peterson to nominate Jim Brandt for the 2013 chair. Carried – unanimous.

The assignment of duties for the Board members was discussed and made as follows:

  1. Road and Bridge - Brandt
  2. Fire Department Liaison - Peterson
  3. Transfer Station/Recycling - Wortham
  4. Parks & Recreation/Township Grounds - Peterson
  5. Weed Control - Brandt
  6. Safety Officer - Wortham
  7. Townhall Building - Wortham
  8. Big Island Liaison - Brandt
  9. Public Communications - Brandt, Wortham, Peterson
  10. Comprehensive Plan - Wortham
  11. Planning and Zoning - Brandt
  12. Other Duties Unassigned - Peterson

Motion by Wortham, seconded by Peterson, to accept the proposed assignments as listed. Carried – unanimous

Mr. Eric Larson of Rem-Whirl arrived to review of the town hall addition plans:

  1. New HVAC system to have floor registers;
  2. Doors to be solid-core flush wood including clerk office;
  3. Door from hallway into new meeting room to have sidelight and be lockable;
  4. Bathrooms to have ceramic tile flooring;
  5. Existing meeting room, kitchen, and new hallway flooring to be vinyl laminate;
  6. New carpet for clerks office;
  7. Carpet flooring for new meeting room;
  8. New meeting room window to be casement style with blinds;
  9. New meeting room to be wired for A/V with projection screen on west wall;
  10. New meeting room to have extra outlets including a couple in-floor;
  11. New meeting room to have large whiteboard on south wall;
  12. Kitchen venting;
  13. No security system.

The discussion continued regarding the timing of the bidding, review, award of bids, and the start of construction. Mr. Larson expects to be finished with construction documents by June 1st; bids will be requested mid-June and awarded in early July. To avoid conflicts, the construction will begin after the Beef Feed. Construction bids are to include schedule outline so the clerk can coordinate construction with hall rentals & events.

There being no further business to conduct, the meeting adjourned at 12:30 pm.
